Changing Campaign Approvers

Use the Change Approver feature to delegate an approver's review responsibilities to another user during an active Access Review campaign when the original approver can't complete the review.

Notes

  • You can only change approvers for active campaigns.
  • Changes apply immediately.
  • The new approver cannot change decisions made by the previous approver.
  • Axonius attributes any decisions made by the new approver to the new approver, with a reference to the original approver.

Prerequisites

To change a campaign approver, you need:

  • Update permission for the Enforcements category
  • An active Access Review campaign

How It Works

When you change an approver:

  • The new approver can view and decide on all review items previously assigned to the original approver.
  • The original approver can no longer access the campaign.
  • The new approver receives an email notification with a link to the approval table.
  • Axonius updates all review items with the new approver's information.
  • Axonius adds a Previously Assigned Approver field to each review item to preserve the original approver's information.
  • Axonius logs the delegation in the Activity Log.

Changing an Approver

To change an approver for an active campaign:

  1. Navigate to Access Reviews > All campaigns.
  2. Click the campaign to open the campaign panel.
  3. Click the Approvers tab.
  4. Hover over the approver row you want to change.
  5. Click Change Approver .
  6. In the search field, type at least 2 characters of the new approver's name or email address.
  7. Select the new approver from the list.
  8. Review the confirmation message and click Confirm.

Axonius sends the new approver an email notification, and the approver can start reviewing the assigned items.

What Gets Delegated

The delegation behavior depends on the approver type:

  • Named approver - Axonius transfers all review items assigned to that specific user to the new approver
  • Direct Manager - Axonius transfers only the review items for employees who report to that manager to the new approver

If an approver already has pending review items and receives additional items through delegation, the Approvers table shows all items in a single row.

Activity Logging

Axonius logs each approver change in the Activity Log with the following information:

  • Category - Access Review
  • Action - Approver delegation
  • Message - "[Admin Name] delegated review tasks from [Original Approver] to [New Delegate] for the campaign '[Campaign Name]'."

To view the Activity Log:

  1. Navigate to Settings > Activity Log.
  2. Filter by Category = Access Review and Action = Approver delegation.
